MEDIA NEGOTIATOR & FACILITIES MANAGEMENT
Critical responsibilities as the negotiatior include: booking all media events, meeting/conferences and community outreach activities; coordinating and maintaining the master calendar; writing and negotiating contracts for hundreds of film, television and photo shoots (including catering and holding), as well as numerous musical productions.

BEFORE LOADING IN
- In consultation with the Sacred Site, create a Media Rate Sheet, Space Use Guidelines, & create boiler-plate agreements (filming and non-filming agreements).
- Be available to take initial call or site visit from location scout and/or performers.
- Schedule location scout visit for photos (if needed).
- Communicate with the location scout regarding status/moving forward with the project. Collect timing data and details re the project and filming window.
- Edit/distribute boiler plate filming agreement, C&H agreement, and/or price rate sheet to location department for coordination with the legal dept.
- Schedule tech walkthrough for director and dept heads.
- Schedule art dept. visit, supplying space measurements, blueprints, setup diagrams, and other relevant docs.
- Draft project-specific agreement: It is important to receive a tech list addendum at this stage (listing set decoration needs & how these items/props will be hung or affixed to the spaces used for filming. Requests from the camera and lighting teams their production needs. Based on request, determine if a FDNY SFX letter is required & is allowed by the Property Owner.
- Proof/edit the script pages to ensure that the terms of the agreement DOES NOT violate any faith organization’s religious or moral standards. Consult with the organization’s lawyer to discuss any significant changes to the contract.
- Negotiate with the Producer’s legal team about language in agreement that best represents the needs of the client.
- Liaise between the production staff and Sacred Space personnel throughout the entire filming process.
- Counter-sign the agreement & return to location department.
- Request Certificate of Liability adding the institution (church or synagogue) as an additional insured. Request payment ahead of load-in.
- Provide media alert announcements: Filming dates to the organization’s tenants & leadership, local community organizations, local police precinct (the Community Affairs Department). Address community questions, concerns about the production on-site, including employment opportunities, work/life disruptions, environmental impact.
DURING PRODUCTION
- 24/7 On call availability- from the moment the production loads-in, trouble-shooting in real time up (production requests and fielding questions from the site owners on duty staff) to the moment principal photography/filming is completed and the project wraps and loads-out.
POST EVENT
- Oversee exit walkthrough.
- Submit any overtime invoice to the location manager.
- Ensure the check or payment owed is received.
- Sign-off and send location release.
DEVELOPMENT AND SPECIAL EVENTS PLANNING
- Grant research Organize/ Oversee Gala Events, Family parties.
- As the development associate for the outreach arm of the Episcopal Diocese of New York—including overseeing gala events. Significant expertise acquired while supervising staff and volunteers and overseeing the day-to-day operations of the Church of the Intercession, a 20,000-plus square foot property designed by famed architect, Bertram Goodhue.
